1. Data-sensitivity audit
- List the document types staff handle daily (contracts, charts, statements, intake forms).
- Mark which ones contain confidential, regulated, or client data.
- Confirm whether any policy forbids sending that data to a public/cloud API.
- Note where each data type currently lives (drive, email, CRM, database).
2. Workflow shortlist
- Identify the task that eats the most repetitive staff hours each week.
- Check that the task relies on text/documents/data a model could read.
- Confirm a human will review AI output before it's used.
- Pick ONE workflow to pilot first — the highest pain, lowest risk.
3. Readiness signals
- Do you have (or can you buy) a machine with a capable GPU / enough memory?
- Is your priority data digitized and reasonably organized?
- Is there one decision-maker who can approve a 30-day pilot?
- Can you define what 'success' looks like in one sentence?
